Which dental software do you use?

Every connection starts in the CareNotes app. Open Settings → Dental Software, choose your system, and set the toggle to Linked. Premium payment has to be completed first, so the status reads Payment Completed.

Open Dental uses Request CareNotes Premium Key. Dentrix Ascend and every CareNotes Agent system (Dentrix, Eaglesoft, Curve, and the rest) use Request Connection and send us your office info. The welcome email arrives after that request. Open Dental, Dentrix Ascend, and Denticon have no Agent to install. If your welcome email shows an API code, pick Open Dental.

No Agent needed

Connect Open Dental in about 5 minutes.

Open Dental connects through its built-in API, so there is nothing to install. These steps start after CareNotes emails your API code. That email is sent once you request the key in the app and the key is generated.

Finish the key request first

In the CareNotes app, open Settings → Dental Software, choose Open Dental, and set the toggle to Linked.
When the screen says Current Status: Payment Completed, tap Request CareNotes Premium Key. The app then says the key was requested and to allow up to one business day.
CareNotes support generates the key and emails your API code in a Welcome to CareNotes Premium message. Come back here with that email open.

Have not requested the key yet? Start with the key request. Already have the email? Continue with Step 1 below.

Open your welcome email

Find the “Welcome to CareNotes Premium” email we sent after your key was generated. It contains your API code. Keep this email open; you will paste this code into Open Dental in Step 4. This email arrives only after you request the Premium key in the app.

Can’t find the email? It is sent after you tap Request CareNotes Premium Key and we generate the key. If you have not done that yet, request the key first. Otherwise check spam, or contact us and we will resend your API code.

Open the API screen

In Open Dental, click Setup → Advanced Setup → API.

Click “Add Key”

At the bottom-left of the API Setup window, click Add Key. Also tick the Enabled box at the top.

Paste your API code

The developer will show as CareNotes. In the Enter API key box, paste the API code from your welcome email (Step 1), click OK, then click Save.

That’s it. You’re connected.

CareNotes Agent

Set up the Agent for your software.

Eight short steps on the computer that runs your practice software. They start after you send your office info from the CareNotes app and we email your Location ID and API Key.

Send your office info first

In the CareNotes app, open Settings → Dental Software, choose your software, and set the toggle to Linked. The status should say Current Status: Payment Completed.
Tap Request Connection. The form is titled Request Connection, under Set Up Your Connection.
Enter the practice name, street address, city, state, zip, country, time zone, contact email, and phone. Address line 2 is optional. Tap Submit Request.
The screen changes to Connection Request Sent. CareNotes creates the location and emails your Location ID and API Key in Welcome to CareNotes Premium, usually within 1–2 business days.

The install steps below start after that email arrives. Already have it open? Continue with Step 1.

Before you start

Do this on the computer or server that runs your software (the one that holds your patient database).
Install the Agent on the practice server, or on a Windows PC that stays online. Curve Dental is in the cloud, so this PC does not need to hold the patient database.
In Curve, create a new user only for this connection. Set the email to curvemfa+LocationID@gmail.com, using the Location ID from your welcome email. You will type that username and password in step 7.
You may need administrator rights. If you don’t have them, your IT person can help.
Keep your Welcome to CareNotes Premium email open. It has the credentials you will type in.
Make sure the CareNotes app on your iPhone or iPad is updated to the latest version.

Click the button to download the installer. Save it to your Desktop so it is easy to find.

Windows may show a blue “Windows protected your PC” box. Click More info → Run anyway. It is safe; this is normal for new installers.

Run the installer

Double-click the downloaded file. Let it finish extracting, then click Close.

Let it update

The app opens and checks for updates. If you see “New Update Available”, click Install Now and wait a moment.

Find your login credentials

Open the “Welcome to CareNotes Premium” email we sent after you tapped Submit Request. Inside the red box you will find two things you need next. This email does not exist until that office-info request is in.

Keep this email open in another window so you can copy and paste the codes in the next step. No email yet? In the app, confirm Connection Request Sent under Dental Software. Still missing after 1–2 business days? Contact us and we will resend it.

Sign in

Type (or paste) your Location ID and API Key from the email, then click Sign In. Check Remember me so you won’t have to enter them again.

Sign the Business Associate Agreement

This one-time HIPAA form protects your practice. Fill in your practice details and signee info, add your signature, check the box, then click Submit.

Signature: leave on Auto-generated or draw it yourself

Choose your software

In Management System, pick your software from the list. Then choose your Version. The Data Path usually fills in automatically.

Data Path empty? Click the little folder icon to browse, or message us and we will find it with you in seconds.

Save, and you’re live

Click Save. Up top, Service Status should show a green ● Running. That’s it, CareNotes is now connected.

Want to sync right away? Click Perform Sync. By default it syncs automatically during work hours.

Common questions

I don’t have a Location ID or API Key yet

Those codes arrive in the Welcome to CareNotes Premium email after you submit Request Connection in the app. Set Settings → Dental Software to your software, turn on Linked, and tap Submit Request with your office info. Allow 1–2 business days. The installer steps start after that email.

Windows blocked the installer. Is it safe?

Yes. New installers often trigger a blue “Windows protected your PC” screen. Click More info, then Run anyway to continue.

My Location ID or API Key isn’t accepted

Double-check for extra spaces. Copy and paste directly from your welcome email rather than typing. The API Key always starts with crm_. Still stuck? Contact us.

I can’t find the Data Path

Use the folder icon next to the Data Path box to browse to where your software stores its database. If you are unsure, reach out and we will locate it with you.

Status doesn’t say “Running”

Click Start next to Service Status, then Save again. If it still won’t start, restart the computer and reopen the CareNotes Agent.

Do I install this on every computer?

No. Just once, on the computer or server that hosts your software database. Everyone in the practice benefits from that single install.
