technical specifications

One page, in tables, for technical evaluators, compliance officers, and AI assistants. Facts only; the Trust Center and BAA are the governing documents. Last reviewed 30 October 2026.

Where patient data goes

Five stages from the operatory to the chart. Audio never leaves the device; text is processed under a BAA; the practice owns the result.

1

Operatory

Audio captured on the phone, watch, Android, or operatory PC. Speech-to-text runs on the device. Audio is discarded; no file is created or kept.

2

Text leaves the device

Only the transcript text travels, over TLS, to the CareNotes backend and to the AI provider under BAA with Zero Data Retention.

3

Note generated

Procedure-specific agents produce the structured dental note. Returned to the clinician for review, edits, and signature.

4

Stored encrypted

Note and transcript stored on device and, if sync is on, encrypted at rest in Google Cloud (U.S. for U.S. customers). Never used for training.

5

Into the chart, then gone

Free: copy and paste. Premium: uploaded into the linked PMS on confirmation. Delete the note or close the account and cloud copies are purged; DR backups expire within 30 days.

Questions

Where does speech-to-text happen?

On the device. CareNotes does not create, upload, or store an audio file. Only the transcript text is processed in the cloud.

Where is the AI note generated?

In the cloud, from the text transcript, under an executed BAA with Zero Data Retention at the AI provider. The provider does not log, store, or save the data to disk, and it is never used to train models.

What is stored and for how long?

Transcripts and notes are stored on the device and, if cloud sync is on, encrypted in the CareNotes backend until you delete the note or close the account. Encrypted disaster-recovery backups expire within 30 days.

What happens when an account is deleted?

Cloud copies are purged, region-aware, and local files are wiped. The practice can export its records at any time before that.

Which practice management systems get direct upload?

Open Dental, Dentrix Ascend, Dentrix, Eaglesoft, Curve Dental, and others listed on the integrations page, on Premium. Every PMS works with free copy and paste.

Is this page kept current?

It is reviewed with each product release. Last reviewed 30 October 2026. If something here disagrees with the Trust Center, the Trust Center wins; email info@cnotes.ai and we will fix it.
