CareAssist

Know the patient before they sit down.

A clinical recap, the personal details that matter, and a conversation opener. Generated from the patient’s past notes and waiting on the card before you walk in.

Included with every account for your CareNotes History. Premium adds the schedule and the chart.

CareAssist card at the top of the recording screen in CareNotes: a clinical line, a personal line, and an ice-breaker question, above the record button
A dentist pauses in the hallway outside the operatory, reading the CareAssist recap on their phone while the patient waits in the chair
Ten seconds in the hallway. Nothing feels like a first visit. Three lines on the card, read on the way in. No scrolling through history, no asking the assistant.

What it says

Three things to know before you say hello.

Each line is written to be read in a glance: dental shorthand, fragments, semicolons, dates abbreviated. Tap a line to expand it when there is more.

Clinical

The latest visit, compressed

What happened last time, what to monitor today, and anything still open in the plan. It leans on Exam, Findings, Assessment, and Chief Complaint, and keeps to three short lines.

ExamplePost-op healing uneventful; sutures removed 8/21/26; membrane removal & flipper delivery completed; no complications noted.

Personal

The details patients mention in passing

Family, work, hobbies, trips, life events, with an approximate date worked out from when the note was written. Remembered for you, so the patient does not have to repeat it.

ExampleNov ’25: financial concerns (for dental tx); family commitments (daughter preparing for event).

Ice Breaker

One line to start warm

A short, friendly opener built from something specific in the history. Six to eight words, light, and easy to say while you sit down.

ExampleHow was your daughter’s event?

Lines with nothing to say stay hidden. A patient with no personal details in their notes shows only the clinical recap.

How it works

It reads the history so you do not have to.

CareAssist runs on its own. There is nothing to start, and nothing to re-run every morning.

01

A patient lands on Home

From Today’s Patients when your practice software is linked, or from a patient you add yourself. Returning patients are the ones with something to recap.

02

CareNotes pulls the past notes

Up to the three most recent notes, newest first: your CareNotes History, or the chart’s prior notes when the practice software is linked.

03

The card fills in

The clinical line warms up in the background for the whole day’s list. Open a patient and the personal line and opener follow. Each row expands when it is long.

04

Tap in for the notes

The arrow on the card opens the patient’s clinical notes, newest first, and loads more as you scroll. The recap is the summary; the notes are a tap away.

Recaps are kept on the device and only rebuilt when the patient’s history actually changes, so the card is instant the next time the patient is on the schedule.

Where you see it

On the card, at the chair, and a day ahead.

Home

Today’s Patients

Each returning patient’s card carries the CareAssist rows. Scan the day in one scroll before the first patient arrives.

Recording screen

While you talk

The same card sits above the record button, collapsible, so the recap is in view during the visit without leaving the recording.

Upcoming schedule

Tomorrow’s Patients Premium

Open the evening notification, or swipe ahead a day in the schedule, and tap any patient to read their CareAssist brief before tomorrow. Reviewed patients get a check so you can see who is left.

Where the history comes from

Your notes, or the chart’s. Same three lines either way.

CareAssist works from whatever record of the patient CareNotes can see.

CareNotes History

Every account.

Past notes you made with CareNotes for the same patient name. Nothing to link. New to CareNotes? The card starts filling in from the second visit.

Practice software Premium

The chart’s prior notes.

With a linked practice management system, CareAssist reads the patient’s existing clinical notes from the chart, so day one with CareNotes already has years of history behind it.

Good to know

One patient at a time. Text only.

CareAssist and Morning Huddle

They read the same history and answer different questions. Morning Huddle is the whole day for the whole team, built the evening before and printable. CareAssist is one patient, on their card, at the moment you need it.

  • Huddle: every provider, every patient, one PDF
  • CareAssist: this patient, three lines, right now
  • Both fill in on their own

Privacy

CareAssist works from note text, never audio. It uses your CareNotes History and, with Premium and a linked practice management system, today’s schedule and the chart’s prior notes. PHI is not used to train models, and a BAA is executed with the practice.

Questions

The short answers.

Do I need Premium for CareAssist?

No. For patients whose past notes live in your CareNotes History, CareAssist works on every account. Premium with a linked practice management system adds today’s schedule and the chart’s prior notes as the source. See pricing.

Why does a patient show no CareAssist?

CareAssist needs prior notes for that patient. New patients have nothing to recap yet. On unlinked accounts the past notes must be filed under exactly the same patient name. On linked accounts the practice software must return prior clinical notes for that patient.

How far back does it read?

The most recent notes, newest first, up to three. The clinical line focuses on the latest visit; the personal line and opener draw on whatever those notes mention.

Can I read the actual notes?

Yes. Tap the arrow on the CareAssist card to open the patient’s clinical notes, newest first, and load more as you scroll.

Is CareAssist the same as Morning Huddle?

No. Morning Huddle is the whole day for the whole team, built the evening before and printable. CareAssist is one patient, on their card, at the moment you need it.
